Why we collect personal information
We use information for three broad purposes:
1) To operate our business
2) To conduct research and consultancy services; and
3) To send marketing content.
Detail about how we process information about each of these purposes, and about the rights of the data subject in each case, is presented below.
White Tail complies with the Market Research Society’s Code of Conduct, and adheres to the UK Data Protection Act 2018 (UK DPA) and the UK General Data Protection Regulation (UK GDPR).
1) Information used to operate our business
We require personal information about a range of individuals in order to operate our business, including current, past and prospective employees, associates, clients, suppliers, and others with whom we communicate.
We collect and process the following types of information for this purpose:
· Personal identifiers, contact details and characteristics (for example, name, job title, organisation and contact details)
· Financial information (such as bank details) as part of contract delivery
This information is provided directly to White Tail or is gathered from publicly available online sources for the purpose of regular communication and/or contract delivery.
2) Information used to conduct research and consultancy services
Sometimes to conduct our research or consultancy services we need to contact people with whom we don’t have a contractual relationship so that we can communicate and/or engage with them. These could be people working in and around the health and care sector, or members of the public.
People working in and around the health and care sector
Where we want to contact someone because of their role in or expertise on the health and care sector, we may collect and process the following type of information:
· Personal identifiers, contact details and professional characteristics (for example, name, job title, organisation and contact details)
This information may be supplied to us via a third party, such as a client. We will always establish consent from the information subject before receiving this information.
This information will be used for the specific, project-based, time-limited purpose of contacting the individual to conduct primary research (for example through an interview, focus group or a questionnaire) and to inform analysis.
This information will be securely destroyed no later than three months after the conclusion of the project.
Any individual whose information we collect on this basis has the right to withdraw their consent for our processing of their information, in which case we will securely delete it and provide confirmation we have done so.
Members of the public
Where we want to understand the views and experiences of members of the public, we may collect and process the following types of information:
· Personal identifiers and contact details (for example, name, telephone number and/or email address);
· Information about protected characteristics, as defined by the Equality Act 2010, for the purposes of equalities monitoring and analysis (for example, age band, gender, sexual orientation); and
· Other personal characteristics to ensure our research sample covers all relevant groups of the target population (for example, locality of residence or information pertaining to socio-economic status).
We may gather this information directly or through a third-party supplier acting on our behalf (such as a recruiter). We will always gather explicit consent from the individual before collecting this information.
This information will be used for the specific, project-based, time-limited purposes:
(a) Contact information will be used to arrange and conduct research, such as by interview, or focus group or questionnaire, and
(b) Information about individual characteristics will be used for the purpose of analysis.
Personal identifiers will be removed ahead of the process of analysis. All information will be securely destroyed no later than three months after the conclusion of the project.
Any individual whose information we collect on this basis has the right to withdraw their consent for our processing of their information, in which case we will securely delete it and provide confirmation we have done so.
3) Information used for marketing purposes
Where individuals would like us to contact them to tell them about our work we will collect the following information:
· Personal identifiers, contact details and professional characteristics (for example, name, job title, organisation and contact details).
This information will be collected through an individual opting-in to receive our marketing content, or through explicit consent.
Any individual whose information we collect or hold on this basis has the right to withdraw their consent for our processing of their information, in which case we securely delete it from our marketing database (thus removing them from our email list) and provide confirmation we have done so.
